This article will explain the workflow for a quote deposit payment.

Please note that deposit requests can only be created for agencies using the OurProperty Payment Platform.
How to create the deposit request in a quote
Steps:
- Fill in the Quote work items to achieve a total cost for the quote
- Click into Deposits / Charging
- Enter in a % figure (i.e. 25%) for the amount you would like to collect as a deposit
- Fill in the description for the deposit > tick to identify with the PM that the work will only commence after the deposit paid > enter a due date for the deposit payment.
- Complete the remaining quote details & press 'Submit Quote'
Note: It is important to be aware of the regulations that apply in your jurisdiction and ensure that the deposit requested by a tradesperson or contractor is within the guidelines. Exceeding these guidelines could result in penalties or consequences for both the tradesperson and contractors.
What happens next?
- The quote is sent to the Property Manager with information a deposit is required if they proceed (PM View below)
- When the quote is approved, OurProperty will automatically create and submit a deposit invoice for the % of the total quote amount. E.g Quote total = $1193.50, Deposit Amount = 25%, Deposit invoice will create for $298.38.
- The deposit invoice will appear as a separate job in OurTradie with the status 'Invoice Submitted'
Payment of the Deposit & Final Invoice
- The Property Manager approves the deposit invoice for payment
- When funds are received, mark the invoice as Paid
- Confirm & action the quoted job from the original job request
- Submit the final invoice from the original job request. The deposit paid amount will be automatically reduced from the total owing.
*If required, add new charges to the final invoice by clicking on '+ Add a new work item'
