To create a quote from a requested job
1. Open the quote request that you need to create the quote for in Quotes > Requested.
2. Select the job you'd like to quote for.
3. Click on ‘Quote - Work Items’ and '+ Add a new work item' to add new work items.
4. A pop-up box will appear where you can either quote for materials and labour separately, or click ‘Other’ and type in the description and price.
5. Add as much detail as you can to this section. Whatever you type into the description boxes will show up on the quote that gets sent to the property managers and landlords.
6. Click save in the bottom right-hand corner of the pop-up box and it will appear in the ‘Quote - Work Items’ section.
Note: You can add more work items by following the same steps. You can delete a work item by clicking on it and clicking the ‘Delete’ button in the pop-up box.
7. You can create optional and alternative items for your quote by either selecting the cross or fork icon on each item.
The cross or plus symbol turns the item into an optional extra that the property manager or landlord can choose if they desire.
The fork symbol turns the item into an alternative item - meaning the property manager or landlord can choose this item instead of the other one.
To view more information about optional and alternative work items click here.
8. To add images, a note or any other information to the job, click the ‘Images / Additional Information’ section.
Here, you can do the following things:
-
Select the Maintenance Type at the top
-
Add a note and choose people to notify
-
Book a meeting with either the tenant or the tenant and property manager
-
Add images or videos of the job
-
View a history of jobs done at the property
-
Attach additional files (excluding quotes and invoices)
-
Attach contract documents and add additional contract text
9. Once you’re finished, scroll to the bottom of the page and click ‘Submit’. The quote will automatically be created and sent to the property manager for approval.
Note: If you're not quite ready to submit, click 'Save' and you can edit it later following the same steps as above.
10. Once submitted, the quote will move to the ‘Awaiting Approval’ section until it is approved.
